You respond to the monthly prompt — or let something else guide you. There is no correct length, no correct format. Write honestly. Write from where you actually are. Post your letter directly before the send-by date.
You cover the cost of your own postage stamp.Your correspondent writes to you. There is something particular about opening a physical letter — the handwriting, the weight of the paper, the words chosen by someone who took time to think of you.
At the end of each month, we may ask for optional anonymous reflections. You confirm whether you would like to continue. If you do, a new match awaits — a new person, a new theme, a new beginning.

Protect your correspondent's privacy. Their address is for this exchange only — never to be used for any other purpose, shared with anyone, or retained after your correspondence ends.
Hold what is shared with discretion. What your correspondent shares is not yours to discuss, post about, or pass on.
Approach difference with openness. Meet people with curiosity rather than judgement.

You do not need to respond to a letter that has caused you harm. We will take every concern seriously, investigate with care, and act to protect the safety of our members.

We encourage handwritten letters — there is something irreplaceable about them. However, if handwriting is not accessible to you for any reason, a typed and printed letter is warmly welcome. What matters most is the honesty and care with which it is written.
If you have not received a letter within a reasonable time after the send-by date, please let us know. We take this seriously. If a member consistently does not write, they will not be included in future rounds. We will always try to make things right.
Each month you are matched with a new correspondent, giving you the chance to build connections with different people over time. If you and a past correspondent wish to continue writing independently, you are welcome to do so.
Your address is shared only with your matched correspondent, for the sole purpose of this exchange. Every member agrees to our community guidelines which strictly prohibit any other use of a correspondent's address. If you ever feel your address has been misused, contact us immediately.
You can cancel at any time, and you are always welcome to reapply when the time feels right. Please note that if you cancel and later rejoin, the founding member rate will no longer apply — you will rejoin at the standard rate at that time.
Each month has a theme and prompts to guide you. You are welcome to use them as a starting point, respond to one prompt specifically, or let something else guide you entirely. What matters is that you write honestly.
Currently, The Gentle Exchange is primarily based in Australia. International members are welcome to apply — however, please be aware that international postage costs and longer delivery times are your responsibility to manage.
We do not offer refunds on monthly membership fees in most circumstances. Exceptions are considered when a member experienced conduct that caused them harm and reported it promptly, or when an administrative error on our part meant match details were not received. Please see our Terms of Membership for full details.
